Respecting and protecting the privacy of all members registered on the platform is a foremost commitment of Panel Populi Limited. We strive to ensure that all data collected via the platform always remain secured and treated with confidentiality.  Our Privacy Policy is a statement of principles and guidelines describing the level of protection of personal information provided by Panel Populi to promote responsible and transparent personal information management practices. 

The Panel Populi Privacy Policy applies to the management of personal information in any form and data collected during surveys, interviews, and group discussions activities. The scope and application of Panel Populi Privacy Policy include;

Accountability
  • Panel Populi will never sell or lease your personal and/or contact details to any third party without your explicit and repeated permission.
  • Panel Populi will never share your personal details with any other member of the Panel, unless you have both explicitly indicated a wish to share this information between each other.
  • Panel Populi is responsible for personal information entrusted to its possession; and shall use contractual or other means to provide an equivalent level of protection if/when information is being processed or used by a third party.
  • Panel Populi will continue to review its Privacy Policy to ensure its relevance with industry standards, technologies and regulations.
Identifying Purposes for Collection of Personal Information
    • Panel Populi shall specify orally, electronically or in writing the identified purposes to the respondent at or before the time personal information is collected. 
    • Panel Populi collects personal information from the public only for the following purposes: 
      • To conduct quantitative or qualitative marketing and social research;
      • To understand respondent opinions to establish suitability for further quantitative and qualitative marketing and social research; and
      • To meet legal and regulatory requirements.
    • Upon request, Panel Populi is obligated to explain these identified purposes or refer the individual to a designated person who can explain the purposes.
    • When personal information that has been collected is to be used or disclosed for a purpose not previously identified, the new purpose shall be identified prior to use. Unless the new purpose is permitted or required by law, the consent of the respondent will be acquired before the information will be used or disclosed for the new purpose.
  • The information provided to clients will usually be reported in an aggregate format; in which it would often be unlikely to disclose personal information of respondents
Obtaining Consent for Collection, Use or Disclosure of Personal Information
  • The knowledge and consent are required for the collection, use, or disclosure of personal information.
  • Participation by respondents in research is always voluntary. The act of participating in a survey, interview, or discussion constitutes implied consent for Panel Populi to collect and use personal information for the identified purposes; except and only where the respondent chooses to discontinue in the course of process. 
  • Generally, any personal information collected in the course of an interview is not disclosed to third parties. However, occasionally, a client sponsoring a research project may want to contact respondents directly. In these cases, Panel Populi always explains the reason for the disclosure to the respondent and obtains express permission from the respondent before making any such disclosure.
  • In obtaining consent, Panel Populi shall use reasonable efforts to ensure that a respondent is advised of the identified purposes for which personal information will be used or disclosed. 
  • In determining the appropriate form of consent, Panel Populi shall take into account the sensitivity of the personal information and the reasonable expectations of its respondents.
Members’ Registration and Usage of the Panel Populi platform. 

Personal data of all individuals using the service (including the IP address and other identifiers as well as information gathered through cookie files or other similar technologies) who are not registered Users (that is who do not have an account within the Service) is processed by Panel Populi for the following purposes;

  • To provide services by electronic means and granting Users access to the Service content as well as to contact forms . 
  • To handle and manage complaints/inquiries/questions. 
  • For analytical and statistical purposes.
  • To determine and pursue potential claims or defending oneself against them.
  • To provide services connected to account management and maintenance within the platform.
  • For marketing purposes on behalf of Panel Populi and/or a third party.
  • For the purpose of compliance with the legal obligations of Panel Populi, particularly from tax and accountancy regulations
Marketing

Panel Populi can process the personal data users for the purpose of, executing marketing activities, which may include:

  • Displaying marketing content to the User that is not tailored to the User’s preferences (contextual advertising);
  • Displaying marketing content to the User that matches the User’s interests (behavioural advertising);
  • Sending email notifications about interesting offers or content, which may in some cases include trade information
  • Carrying out other types of activities connected to direct marketing of goods and services (sending trade information through electronic means and telemarketing activities).

In some cases, the Panel Populi may utilize members profiles and profiling for the purpose of carrying out activities related to marketing and analysis. 

Using personal data collected through the employment of this technology for marketing purposes and cookies, especially for promoting goods and services offered by third parties, is then legally grounded on the legitimate interests pursued by Panel Populi and takes place only on the condition that a member consents to the  use of cookie files. Consent to the use of cookie files can be expressed through configuring the browser accordingly and can be revoked at any time. 

Where a registered member consents to receiving trade information via email, text, and other means of electronic communication, the User’s personal data will be processed to send them such information. Thus, the legal grounds are provided by the legitimate interests pursued by the Panel Populi, consisting in mailing marketing information to the extent the User consented to (direct marketing). The User has a right to object to data processing for direct marketing purposes, including profiling. Data will be stored for this purpose for the duration of the existence of the legitimate interest pursued by the Panel Populi, unless the member objects to receiving such marketing information

Limiting Use, Disclosure, and Retention of Personal Information
  • Panel Populi shall not use or disclose personal information for purposes other than those for which it was collected, except with the consent of the individual or as required or permitted by law. Personal information shall be retained only as long as necessary for the fulfilment of those purposes.
  • Panel Populi may disclose a respondent’s personal information to:
    • a client of Panel Populi where the respondent has consented to such disclosure;
    • a third party engaged by Panel Populi to perform functions on its behalf;
    • a public authority or agent of a public authority if, in the reasonable judgment of Panel Populi, it appears that there is imminent danger to life or property which could be avoided or minimized by disclosure of the information; or
    • a third party or parties, where the respondent consents to such disclosure or disclosure is required or permitted by law.
  • Panel Populi shall maintain reasonable and systematic controls, schedules and practices for information and records retention and deletion which apply to personal information that is no longer necessary or relevant for the identified purposes or required by law to be retained. Such information shall be destroyed, erased or made anonymous.
Accuracy of Personal Information
  • Panel Populi shall take appropriate steps to keep the personal information of Panellists accurate, complete, and up to date as is necessary for the purposes for which it is to be used.
  • Personal information used by Panel Populi shall be sufficiently accurate, complete, and up to date to minimize the possibility that inappropriate or incomplete nformation may be used to make a decision about a group which the respondent may belong to. 
  • Panel Populi shall inform Panellist at intervals to update personal information about themselves. 
Security Safeguards
  • Panel Populi shall protect personal information by security safeguards appropriate to the sensitivity of the information.
  • Panel Populi shall protect personal information against such risks as loss or theft, unauthorized access, disclosure, copying, use, modification, or destruction, through appropriate security measures, regardless of the format in which it is held.
  • Panel Populi shall protect personal information disclosed to third parties by contractual agreements stipulating the confidentiality of the information and the purposes for which it is to be used.
  • All employees of Panel Populi with access to personal information shall be required to respect the confidentiality of that information.
Transparency Concerning Policies and Procedures
  • Panel Populi shall make readily available to individuals, specific information about its policies and procedures relating to the management of personal information.
  • Panel Populi shall make information about its policies and procedures easy to understand, including:
    • The means of gaining access to personal information held by Panel Populi.
    • A description of the type of personal information held by Panel Populi, including a general account of its use.
    • A description of what personal information is made available to partners and clients. 
Members’ Access to Personal Information
  • Upon request, Panel Populi shall inform a member of the existence, use, and disclosure of his or her personal information and shall give the member access to that information.
  • A member shall be able to challenge the accuracy and completeness of the information and have it amended as appropriate.
  • To safeguard personal information, a respondent would be required to provide sufficient identification information to permit Panel Populi to account for the existence, use and disclosure of personal information and to authorize access to the individual’s file. Any such information shall be used only for this purpose.
  • Under specific circumstances, Panel Populi may not be able to provide access to all personal information held about a member. For example, Panel Populi may not provide access to information if doing so would likely reveal personal information about a third party or could reasonably be expected to threaten the life or security of another member/individual. Also, Panel Populi may not provide access to information if disclosure would reveal confidential commercial information.
